Most SaaS email advice stops at the onboarding sequence. Once built, that sequence sends the same messages to every new user. The emails that should change every month are campaigns: what shipped, a nudge for sign ups who stalled, a reason for trial users to decide, an offer timed to your customers' busy season. As a SaaS email marketing agency, we own that monthly layer for US software and app teams. This page covers the campaign types, what the plan includes, two real app campaigns we wrote and how we plan a month around your releases.
What does a SaaS email marketing agency do each month?
We plan, write, design, build, test and schedule eight campaigns inside your email platform, then report on them in plain English. For software, the eight usually come from this menu.
| Campaign | Who receives it | The job it does | What we watch |
|---|---|---|---|
| Feature launch | Plans that include the feature | Get it tried in week one | Feature usage |
| Activation push | Sign ups who skipped a key setup step | Reach first value | Setup completions |
| Trial conversion push | Current and recently ended trials | Help the buyer decide | Upgrades from tagged links |
| Upgrade offer | Accounts close to a plan limit | Move up a plan or add seats | Plan changes |
| Annual plan offer | Steady monthly subscribers | Move to annual billing | Billing switches |
| Seasonal B2B push | Customers with a busy season ahead | Set up before the rush | Setup clicks, demo bookings |
| Product roundup | Whole list | Show progress, stay familiar | Clicks and replies |
| Win back | Cancelled accounts | Return when a requested feature ships | Reactivations |
| Price or policy notice | Affected accounts | No surprises | Replies and support tickets |
Read the menu as a customer lifecycle. Activation and trial pushes add paying accounts. Upgrade and annual plan offers grow revenue from the accounts you have. Launches and roundups keep customers using what you build, and win back emails answer churn. Our email campaign management service shows how each campaign moves from brief to send.
Campaigns or automations: what does the plan cover?
Automations fire on a trigger for each user, like a welcome series or a trial ending reminder. Campaigns are one time sends to a chosen segment on a planned date. Our $1,000 plan covers campaigns; automations can be quoted separately, and transactional mail such as password resets stays with your app.
| Type | In the $1,000 plan? | |
|---|---|---|
| New feature announcement | Campaign | Yes |
| Upgrade push to current and recently ended trials | Campaign | Yes |
| Welcome or onboarding sequence | Automation | Quoted separately |
| Trial ending reminder for each user | Automation | Quoted separately |
| Failed payment (dunning) reminder | Automation, triggered by billing | Quoted separately |
| Password reset, receipt or invoice | Transactional, sent by your product | No |
An automation says the same thing on day three of every trial. A campaign reacts to this month: the integration you just shipped or the holiday your customers are preparing for.
What do our SaaS and app email campaigns look like?
We cannot publish performance numbers for client work, so these cover the brief and the thinking. Full designs are on our email campaign examples page.
Whapi: Black Friday Prep (a B2B SaaS seasonal push)
Whapi is a Shopify app that sends WhatsApp messages from a store's own number: cart recovery, back in stock alerts and order updates. Its customers are Shopify merchants, so their busiest season is its busiest season. Black Friday 2026 lands on November 27, the day after Thanksgiving.
The angle came from a real constraint. Meta reviews every new WhatsApp message template, and its developer documentation says review can take up to 24 hours. A merchant who starts during sale week may still be waiting on approval when traffic peaks. So the email turned the delay into a deadline: set up this week and your flows are live before the sale. The build:
- A dated headline: Black Friday is November 27.
- A chat mockup of an abandoned checkout reminder, so the result comes first.
- Four flows to turn on: cart recovery, early access, back in stock and order updates.
- A timeline: install today, approved within 24 hours, live all sale week.
- Pricing, the free trial and a clear main button.
The lesson for any B2B tool: find the deadline your customer cares about and plan backward from it.
ExpenseTracker: New Month, Clean Ledger (an app activation campaign)
ExpenseTracker lets people text an expense to a WhatsApp number and logs it to a Google Sheet they own. The activation hurdle is that first text. The calendar gave us the hook: November 1, 2026 falls on a Sunday, the same day the app sends its weekly summary, so the new month made a natural fresh start.
The headline was "New month. Clean ledger." A chat mockup shows "Lunch $15" becoming a logged row in the Sheet, then three short steps, pricing with a month to month note, and a button to start on WhatsApp. Every block points at one small first action: send one expense.
How do we plan B2B SaaS email campaigns around your product?
- Read your release notes and roadmap. Launch emails only go on dates you are confident in.
- Map the segments you already have. Plan, trial status, sign up date, last login and finished setup steps matter most. If your product does not sync them to your email platform yet, we say which ones to add first.
- Build the calendar. Eight sends, each with an audience, a goal and a date, approved by you before writing starts.
- Write, test and schedule. Real product screens, one call to action, two revision rounds, then QA and send times set around US time zones. Our email marketing process page walks through each step.
- Report on product actions. The monthly report leads with clicks and the action each email was built for.
An illustrative month for a B2B project management tool (not a client calendar):
| Week | First send | Second send |
|---|---|---|
| 1 | Product roundup to the whole list | Activation push to last month's sign ups who have not invited a teammate |
| 2 | Feature launch to paid plans | Live demo invite to free users and current trials |
| 3 | How to guide for an underused feature | Trial conversion push to current and recent trials |
| 4 | Annual plan offer to steady monthly subscribers | Win back email to cancelled accounts about a feature they asked for |
What makes app email marketing different?
- The goal is a behavior, not a cart. A login, a connected integration, an invited teammate or an upgrade. Tagged links tie each one back to the email.
- Your list is several audiences. Free plan users, trials, customers and cancelled accounts need different messages, so most sends go to a segment.
- B2B readers often need a second yes. We write so the email still makes the case when forwarded to a manager.
- Opens are a weak signal. Apple says Mail Privacy Protection downloads remote content in the background whether or not someone engages, so a tracking pixel can load for an unread email. Our email marketing metrics guide leans on clicks and conversions.
- Product and marketing mail share a reputation. Google's sender guidelines ask that each category of message use the same From address. We keep campaigns on one marketing address, apart from your account notices.
Does CAN-SPAM apply to B2B SaaS email?
Yes. These are the three rules software teams miss most often:
- B2B is not exempt. According to the FTC, the CAN-SPAM Act makes no exception for email sent business to business. Every campaign needs your postal address and a working unsubscribe, and opt outs must be honored within 10 business days.
- A feature email can still be marketing. The FTC treats notice of a change in the terms or features of an account or subscription as transactional or relationship content. When a message mixes that with promotion, its primary purpose decides. It counts as commercial if the subject line reads like an ad or if the account news does not come mainly at the beginning. A launch email that leads with an upgrade pitch follows the rules for marketing mail.
- Gmail sets its own floor. Google requires every sender to keep the spam rate in Postmaster Tools under 0.3% and recommends staying below 0.1%. Senders of 5,000 or more messages a day to Gmail accounts also need SPF, DKIM and DMARC plus one click unsubscribe on marketing messages.
This is general information, not legal advice. See our CAN-SPAM compliance checklist and the monitoring in our email deliverability service.
Which email platforms do we use for SaaS teams?
We work inside Klaviyo, Mailchimp, HubSpot, ActiveCampaign, Brevo, Constant Contact and Shopify Email, always in your own account, so you keep the list, templates and send history. If your CRM is HubSpot, sending from it keeps contact data in one place; see our HubSpot email marketing management page. If your trials and leads are tagged in ActiveCampaign, see our ActiveCampaign campaign management page.
Is a flat $1,000 plan right for your SaaS or app?
It fits when you have a list of users, trials and customers, you ship often, and nobody owns campaigns. It does not fit if you need lifecycle automations built first, want SMS or in app messages, or need paid acquisition. Comparing agencies? Our guide on how to choose an email marketing agency lists the questions worth asking any agency, us included. Frequently asked questions
Do you build SaaS onboarding email sequences?
Not inside the monthly plan. Welcome series, trial ending reminders and other triggered flows are automations, and we can quote them separately. The $1,000 plan covers eight one time campaigns a month, which handle what automations cannot, such as launches and seasonal offers.
How much does a SaaS email marketing agency cost?
Pricing varies a lot between agencies, so ask exactly what counts as a deliverable. Ours is $1,000 a month, flat, for eight finished campaigns, month to month with no long contract. Your email platform subscription is billed separately by the platform. Details are on our pricing page.
How often should a SaaS company send email campaigns?
It depends on how often you ship and how many segments you have, not on a fixed number. Our plan sends roughly two campaigns a week, but most go to a single segment, so a typical user sees only a few of the eight. If unsubscribes or spam complaints rise in a segment, we send to it less often.
Can you write emails about a technical product?
Yes. We work from your release notes, help docs and product screenshots, and we flag questions in the draft instead of guessing at how a feature behaves. You sign off on each email, and each one gets two revision rounds.
How do you measure SaaS email campaigns?
By clicks and the product action each campaign was built for, such as an upgrade, a finished setup step or a feature used for the first time. Tagged links let your analytics tie those actions to the email. Opens show up in the report only as a rough signal.
Do you work with mobile apps as well as web software?
Yes. ExpenseTracker, a WhatsApp based expense app, is one of the app brands we have written for. We handle the email channel only, so push notifications, in app messages and SMS stay with your team.
