Plenty of companies pay for Marketing Hub, fill the CRM with leads and customers, then send a marketing email once a quarter. The data is there. The hours to turn it into regular HubSpot email campaigns are not. As a HubSpot email marketing agency, we close that gap with a steady monthly calendar built in your portal, so every send uses what your CRM already knows about each contact.
What does our HubSpot email marketing agency handle each month?
All eight monthly emails follow the same path through your portal.
| Step | What we do | Where it happens in HubSpot |
|---|---|---|
| Plan | Map eight sends around your launches, events, sales priorities and US holidays | A calendar you approve before we build anything |
| Write | Subject line, preview text and body copy in your voice, with personal details pulled from contact properties | Marketing email editor |
| Build | A mobile friendly layout with your logo, colors and fonts | Drag and drop editor or your saved templates |
| Target | Pick the send segment and the people to exclude | Segments, lifecycle stage, subscription types |
| Test | Subject line A/B test, test sends, link and rendering checks | A/B testing (Professional and Enterprise), preview and test email tools |
| Schedule | Choose a send time that suits your contacts across US time zones | Scheduling, including recipient time zone on Professional and Enterprise |
| Watch | Bounces, unsubscribes, spam reports and domain authentication | Email performance pages and domain settings |
| Report | One plain English summary with next month's changes | Sent to you once a month |
On your side, expect about an hour a month to approve the calendar and drafts, with two revision rounds per email. The full scope is on our pricing page. Our page on monthly email campaign management walks through the cycle in more depth, and our email design service explains how each layout is built and tested.
Which HubSpot email features depend on your Marketing Hub tier?
HubSpot keeps several email tools behind Marketing Hub Professional, and your tier also sets how many emails you can send. Each row below is checked against HubSpot's knowledge base and pricing page.
| Feature | Marketing Hub Starter | Professional and Enterprise |
|---|---|---|
| Monthly email send limit | 5 times your marketing contact tier | 10 times your tier on Professional, 20 times on Enterprise |
| Active and static segments | Yes | Yes |
| Subscription types | Yes | Yes |
| Authenticated sending domain | Yes | Yes |
| Turn off default suppression of unengaged contacts | Yes | Yes |
| A/B tests on marketing emails | No | Yes |
| Smart content in emails | No | Yes, with rules based on segment membership or lifecycle stage |
| Send in each recipient's time zone | No | Yes, but not on an A/B tested email |
Starter still handles eight campaigns a month, with two limits we plan around. The first is volume. Starter includes 1,000 marketing contacts, which gives you 5,000 sends a month at that tier, while eight emails to all 1,000 contacts would need 8,000. So on Starter, most of the eight go to a segment instead of the whole list. The second is testing. Without HubSpot's A/B tool, we compare subject line approaches across similar sends, which is slower than a true split test. If Professional would pay for itself, the monthly report says so.
According to HubSpot, you can't schedule an A/B tested email by recipient time zone. So we choose per email: a subject line test for large sends where the lesson carries into future campaigns, and time zone delivery for date sensitive sends such as a webinar invite going to contacts from New York to Seattle.
How do we segment HubSpot email campaigns for B2B and service businesses?
An online store segments by what people bought. A B2B or service business has a stronger signal in HubSpot: where each contact sits in your sales process. We build active segments, which HubSpot refreshes on its own as contacts meet or stop meeting the criteria.
- Lifecycle stage. A lead needs proof and a reason to talk to you. A customer needs news, tips and renewal reminders.
- Open deals. Contacts tied to a live deal can be left out of discount offers, so a promo never undercuts a quote your sales rep sent.
- Form history. Someone who requested a pricing guide last month is ready for a different email than a blog subscriber from two years ago.
- Subscription types. A contact who opted in to product updates but not the newsletter only gets product updates.
- Engagement. By default HubSpot skips unengaged contacts: people who never engaged and ignored your last 11 marketing emails, or who engaged once but ignored the last 16. We watch that group instead of mailing it blindly.
On Professional and Enterprise, smart content lets one email show different blocks to different readers. HubSpot only allows segment membership and lifecycle stage as smart content rules in marketing emails, so a lead might see a case study and a booking link while a customer sees product news in the same send.
What kind of HubSpot email campaigns do we write?
The monthly plan covers marketing emails, the one time sends scheduled to a segment. Automated emails inside HubSpot workflows, such as a welcome series or lead nurture, are quoted on their own. One to one emails your reps send from the CRM stay with your sales team, and HubSpot doesn't count them toward your monthly send limit. For a B2B or service company, a typical month mixes product news, an educational email, a webinar invite, a customer only update, a newsletter and one or two offers with a real deadline.
Three portfolio campaigns show the thinking behind those slots (platforms vary by client):
- "Black Friday Prep" for Whapi. A B2B SaaS email to Shopify merchants where the urgency was operational, not a discount: Meta may need as long as a full day to approve a WhatsApp template, so flows had to be ready early.
- "New Month, Clean Ledger" for ExpenseTracker. Built to get signups using the app: November 1 fell on a Sunday, which is also when the app delivers its weekly summary, so a fresh month and a fresh habit began on one date.
- "Stay Longer on the Osage" for Ozarks Landing RV Resort. An extended stay offer from a Lake Ozark, Missouri service business, aimed at one audience: guests who might add more nights.
More examples live in our email campaign portfolio. Software companies can read our page on SaaS email marketing for activation and expansion campaigns.
When should you outsource HubSpot marketing email?
Outsource it when your portal is already set up and the missing piece is a steady flow of well built marketing email. If your gap is one of these instead, sort it out first, usually with a HubSpot implementation partner:
- HubSpot onboarding, CRM setup or moving contacts in from another tool
- Sales pipelines, sequences or dashboards for your reps
- A HubSpot website, blog or landing pages
Once that groundwork is done, we take over the monthly email.
How do we read HubSpot marketing email reports?
HubSpot filters suspected bot activity out of marketing email analytics by default, and it treats Apple Mail Privacy Protection as bot activity. HubSpot's documentation notes this usually makes its numbers look lower than platforms that count bot activity. If HubSpot open rates trail your old tool, suspect the filter before your audience.
Our monthly report leads with signals that hold up: clicks, click through rate, unsubscribes, bounces, spam reports and which segment responded best, followed by what we will change next month. Each of those numbers is defined in our guide to email marketing metrics.
We also watch your contact count. HubSpot bills Marketing Hub by marketing contacts, and its billing documentation says going over your tier by even one marketing contact moves you up to the next tier. Contacts set as non marketing don't count. When contacts ignore months of email, we flag them so you can decide whether they are worth paying to reach.
What do we need to start running your HubSpot marketing email?
- A user invite. HubSpot's seat rules say View Only seats can't create or edit content, so we need a seat that can build and schedule marketing email. We confirm the seat and permissions with you first, and the steps to add us are on our email platforms page.
- An authenticated sending domain. Connecting a domain in HubSpot sets up MX, DKIM, SPF and DMARC records, and its status should read Authenticated. Google's email sender guidelines require SPF, DKIM and DMARC from anyone sending more than 5,000 messages a day to Gmail accounts. If yours shows Partially authenticated, our email deliverability service sorts it out.
- A compliant footer. According to the FTC's CAN-SPAM guide, each message must show your valid physical postal address, and an unsubscribe request has to be processed within 10 business days. The other rules are in our CAN-SPAM compliance checklist.
- Your brand basics. Logo, colors, fonts and any HubSpot templates you like.
- Lifecycle stages your team actually updates. If stages drift, the segments built on them drift too, so we flag gaps before the first send.
Want to see how your portal measures up first? Ask for a free email audit: we check how healthy your list is, whether your domain records pass and how your last few sends were built, then name the missed opportunities and include a sample calendar of eight campaigns. It costs nothing and commits you to nothing.
Frequently asked questions
Do I need HubSpot Marketing Hub Professional to work with an email agency?
No. We run the full eight email plan on Marketing Hub Starter and aim most campaigns at segments, so you stay inside the Starter send limit. Professional and Enterprise add A/B testing, smart content and recipient time zone sending, and we put those to work whenever your plan includes them.
How many marketing emails can I send per month in HubSpot?
It depends on your plan. HubSpot's free tools allow 2,000 email sends per calendar month with HubSpot branding. Paid Marketing Hub plans scale with your contacts: 5 times your marketing contact tier on Starter, 10 times on Professional and 20 times on Enterprise. Test emails and one to one emails from the CRM don't count toward the limit.
Does the $1,000 a month include my HubSpot subscription?
No. HubSpot bills you directly for Marketing Hub and your marketing contacts. Our fee covers the eight campaigns and everything that goes into them, as listed on our pricing page.
Can you build HubSpot workflows and automated nurture emails?
The monthly fee covers one time marketing emails only. Once we have seen your portal, we can price a welcome series, lead nurture or other workflow emails as a separate project.
Why are my HubSpot email open rates lower than in my old email tool?
HubSpot filters suspected bot opens by default, and that includes opens generated by Apple Mail Privacy Protection. Tools that count those opens tend to report higher numbers. Clicks give you a steadier way to compare campaigns.
Who owns the emails, templates and contacts you create in HubSpot?
You do. Everything we build lives in your HubSpot portal under your account. Should we part ways, you delete our user and every email, template and contact stays right where it is.
